This policy explains how we process your personal data when you visit terrenassolar.com and when you use our forms: quick request, full quote request, solar calculator, maintenance or repair request, contact form, partner installer and supplier sign-up, and data rights request. If anything is unclear, write to us using our contact form.

Key points

  • For a request, only one piece of information is required: your WhatsApp number. Everything else, including photos, is optional. The contact form accepts either a WhatsApp number or an email address, as you prefer.
  • Your request is received by our team. It is not forwarded automatically to any third party.
  • We only share your request with a partner installer if you tick the box provided for this purpose, which is unticked by default, so that the installer can carry out the study of your project. The installer must use your request only for that study and the quote. If you leave it unticked, your request is handled just the same.
  • We only send you future commercial offers if you tick the box provided for this purpose, which is unticked by default. If you leave it unticked, your request is handled just the same.
  • Your photos are never published. Their metadata (including GPS location) is removed and only our team can see them.
  • We do not sell your data. By default, the site only uses technically necessary cookies. Measurement and advertising tools (Google Analytics 4, Google Ads, Meta pixel), if enabled, only load with your consent and never receive your phone number or email address.
  • You can exercise your rights at any time using the data rights request form or using our contact form.

1. Data controller

The controller of your personal data is THERD SRL (RNC 133-63250-2, Dominican taxpayer number), which runs the site under the name “Terrenas Solar” and is located at Calle Principal, 32000 Las Terrenas, Samaná, República Dominicana. Contact: the site's contact form.

Request data is recorded in the platform's request database, for which THERD SRL is responsible.

2. What data we process

Data in your request

When you send a quick request, a full quote request or a maintenance or repair request:

  • Required: your WhatsApp number, with the international dialing code (for example +1 or +33). Without this number, or if it is wrong, we cannot reply to you or handle your request.
  • Optional, depending on the form: the package or solution you are interested in, the type of property, the area where it is located, whether you own or rent it, your electricity bill amount or consumption, the appliances you want to power, how long power outages usually last, your goal, the type of roof, your budget, any interest in financing, your preferred timeframe, your first and last name, your email address, your preferred language, your message and photos (see below). If you leave these out, your request is still handled; we may ask you for a few details on WhatsApp.

We do not ask for your exact address: the area is enough at this stage. If a technical visit is arranged, its address and time are agreed with you on WhatsApp.

To follow up on your request, our team also records follow-up information in the administration area: status, internal notes, date and report of the technical visit, and the quote sent.

Please do not send us identity documents, bank details or sensitive information (for example about your health): they are not needed to handle your request.

Photos

You can attach up to 5 photos, for example of your roof, your electricity meter, your electrical panel or your electricity bill. They are optional and help us prepare the study of your project.

  • Each photo is checked on receipt (actual file type and size), then given a random file name.
  • Its metadata (EXIF data), in particular GPS location and device information, is removed.
  • Photos can only be accessed by our team, in the administration area protected by authentication. They are never published.
  • A photo of a bill contains personal data (for example your name, your address or your customer number): it is never published, or passed on to a third party without your agreement.
  • Photos are deleted at the latest when the request is anonymized (see section 7).

Solar calculator

When you use the solar calculator, your answers and the result shown are recorded anonymously, without your name, number or email address. They are only linked to a request if you then send the form: our team can then see the estimate you looked at and does not need to ask you the same questions again. Simulations that are not followed by a request are deleted after 12 months.

The calculator's estimates are indicative: they do not replace a technical visit or a quote. We explain the method on the How we calculate page.

Data recorded automatically with your request

  • the language in which you are using the site;
  • the form used and the page from which you sent the request;
  • the ad click identifier (gclid) and marketing attribution parameters (utm_*), if they were present in the link that brought you to the site;
  • the domain of the site you came from (referrer), if your browser sends it;
  • the date and time of the request, and its reference;
  • the package you viewed and, if one was displayed, its dated reference price;
  • the calculator result, if you used it before sending the request;
  • the version of this policy that was shown to you;
  • your choices regarding sharing your request with a partner installer and commercial offers (boxes ticked or not), with the texts shown to you, their version and the date.

Messages sent with the contact form

If you write to us using the contact form, we record the subject and text of your message, the way to reply that you give (WhatsApp number and/or email address: at least one of the two), your name if you give it, the language, the page you came from, the date, and your choice regarding commercial offers (optional box, unticked by default). This data is used only to reply to you; it is not passed on to any partner installer.

Technical security data

When you submit a form, your IP address is used briefly to limit abusive submissions. We only keep a fingerprint of that address (a salted hash), which is deleted after about 24 hours. Your full IP address is not stored in our database. Beyond a certain number of submissions from the same number within 24 hours, further requests are classified as spam, and a number used abusively may be blocked. Spam protection works without any third-party captcha.

Audience statistics

We measure traffic with our own counters, aggregated by day (for example, the number of views of each page), without cookies and without personal data.

If we enable third-party measurement and advertising tools (Google Analytics 4, Google Ads, Meta pixel), they only load after you give your consent (see section 9).

If you have accepted these cookies and arrived on the site from a Google ad, we may also send Google Ads the click identifier (gclid) recorded with your request or simulation, together with the type of conversion (request recorded or simulation completed) and its date, to measure how effective our campaigns are. This never includes your phone number, your email address, the content of your request or your photos.

3. Why we use your data

We clearly distinguish four uses:

1. Answering your request. We contact you on WhatsApp to clarify your needs, arrange an on-site technical visit, and then send you a detailed quote. If you gave us your email address, we may also use it to reply to you. A request does not commit you to anything and is not a quote.

2. Following up on that same request. For example, getting back to you if you have not had a chance to reply, or checking in after sending the quote to answer your questions. This follow-up is limited to the request you sent us, and you can ask us to stop at any time.

3. Sending you future commercial offers, only if you agree. If you tick the box provided for this purpose (unticked by default), we may send you commercial offers by WhatsApp or email. If you leave it unticked, your request is handled just the same. You can withdraw your consent at any time by replying STOP on WhatsApp or by using the data rights request form. We never enroll you automatically in any campaign.

4. Sharing your request with a partner installer, only if you agree. If you tick the box provided for this purpose (unticked by default), we may pass your request to a partner installer, chosen according to your project and your area, so that the installer can carry out the study of your project; the installer may then contact you on WhatsApp or by email, in particular to arrange a technical visit. We only pass on what the installer needs for this: your name, your WhatsApp number, your email address if you gave it, the content of your request (solution, type of property, area, consumption, appliances, roof, timeframe, message, etc.) and, where applicable, the calculator result and your photos. The partner installer must use your request only to carry out the study and prepare the quote, and is responsible for how it uses it. If you leave the box unticked, your request is handled just the same and is not passed on to any partner installer. You can withdraw your consent at any time using the data rights request form: we will then stop sharing your request and inform the partner installer that has already received it of your withdrawal.

If you accept a quote, we use the data needed to perform the contract concluded on that basis (visit, installation, commissioning and, where applicable, maintenance set out in the quote) and to meet our legal obligations, in particular accounting and tax obligations.

Once your installation is complete, we may offer to feature it among our projects or to publish your testimonial. We only do so with your agreement (in writing for a testimonial), without the exact address and without recognizable faces unless the person concerned agrees. You can ask us to remove it at any time.

We also use some data to keep the service running properly:

  • protecting the site and its forms against abuse and spam, and checking the photos we receive;
  • keeping proof of the information shown to you (checkbox texts, version of this policy) and of your choices (sharing with a partner installer, commercial offers);
  • understanding which pages, channels and advertising campaigns generate requests (utm_* parameters, gclid identifier and referring domain), in order to improve the site and measure how effective our campaigns are.

We do not make decisions based solely on automated processing that produce legal effects concerning you or similarly significantly affect you. The calculator's estimates are worked out automatically from your answers, but they are only indicative: the quote is prepared after the technical visit.

4. Applicable law and legal bases

THERD SRL is established in the Dominican Republic. The processing of your data is governed by Dominican law, in particular Law No. 172-13 on the protection of personal data.

If you are in the European Union or the European Economic Area when you use the site or send us a request, the EU General Data Protection Regulation (GDPR) may also apply to the processing of your data.

Under Dominican law (Law No. 172-13)

We process the data in your request on the basis of the consent you give by sending it, after being informed by this policy, or where the law allows processing without consent. Sharing your request with a partner installer and sending future commercial offers are each based on a separate, specific consent (one checkbox for each), which you can withdraw at any time. Third-party measurement and advertising tools are also based on your consent, collected through the cookie banner, as is the publication of a project or testimonial.

Where the GDPR applies

  • Answering your request, including reviewing the photos and calculator result you attach: steps taken at your request prior to entering into a contract, and our legitimate interest in handling the request you send us (Art. 6(1)(b) and 6(1)(f) GDPR).
  • Following up on that same request: our legitimate interest in following up on a request you initiated (Art. 6(1)(f)). You can object at any time.
  • Performing an accepted quote: performance of the contract (Art. 6(1)(b)) and compliance with our legal obligations (Art. 6(1)(c)).
  • Future commercial offers: your consent (Art. 6(1)(a)), which you can withdraw at any time.
  • Sharing your request with a partner installer: your consent (Art. 6(1)(a)), which you can withdraw at any time.
  • Third-party measurement and advertising tools (cookies), including sending the gclid to Google Ads: your consent (Art. 6(1)(a)), collected through the cookie banner, which you can withdraw at any time.
  • Publication of a project or testimonial: your consent (Art. 6(1)(a)), which you can withdraw at any time.
  • Security, abuse prevention, proof of the information shown and of your choices, and measuring which channels and campaigns generate requests: our legitimate interest in protecting the service, being able to demonstrate what was shown to you and what you chose, and improving the site and our communication (Art. 6(1)(f)).

5. Who receives your data

  • Our team: only authorized staff, through a protected administration area (see section 8), as well as our internal request management tools, used only by our team. These tools access requests through a private, secure interface, without the photos, and process them on our behalf.
  • A partner installer: does not receive your data automatically. If you ticked the sharing box, we may pass your request to a partner installer as described in section 3 (point 4). Installations are carried out by THERD SRL or by selected partner installers; the quote always states who does the work. If, without you having ticked the box, a partner installer needs to work on your project (for example because the quote provides that it will carry out the work), we will tell you first and only pass your data to it with your agreement, limited to what is necessary.
  • Our technical service providers, which process data on our behalf: website hosting (Hostinger International Ltd.), backups and, when we use it, our email service.
  • WhatsApp (Meta), which we use to reply to you on the channel you chose. Messages exchanged on WhatsApp are also subject to WhatsApp's own terms and privacy policy.
  • Google and Meta, for measurement and advertising, only if these tools are enabled and you have accepted the corresponding cookies. They then receive browsing data (see section 9) and, for Google Ads, the click identifier linked to your request (see section 2), but never your phone number, your email address or your photos.
  • Public authorities, only when the law requires it.

We do not sell your data. Apart from the sharing with a partner installer that you have agreed to, we do not pass it on to any third party.

6. International transfers

THERD SRL is established in the Dominican Republic. Your data is stored on the servers of our hosting provider (Hostinger International Ltd.); the country where they are located depends on that provider. When we reply to you on WhatsApp, messages pass through the infrastructure of WhatsApp (Meta), which may process data in various countries. If you accept measurement and advertising cookies, Google and Meta may also process data in various countries, including the United States. The partner installers with which you agree that we may share your request are established in the Dominican Republic.

Your data may therefore be processed outside your country of residence, including in countries whose laws do not necessarily offer the same level of protection. In all cases, we apply the measures described in this policy.

7. How long we keep your data

  • Requests: kept while they are being handled. Inactive requests are automatically anonymized after 12 months, after which they can no longer be used to identify you; attached photos are deleted at that point.
  • Accepted quotes: if you become a customer, the data needed to perform the contract, handle warranties and meet our legal obligations (in particular accounting and tax obligations) is kept for as long as these purposes require and the law provides.
  • Simulations not followed by a request: deleted after 12 months.
  • Contact form messages: automatically deleted after 12 months.
  • Published projects and testimonials: until you ask us to remove them.
  • Installer and supplier sign-ups: kept for as long as needed to review the proposal and, where applicable, for the duration of our collaboration.
  • Proof of your choices (sharing with a partner installer, commercial offers): kept for as long as necessary to be able to demonstrate them.
  • IP address fingerprint: about 24 hours.
  • Your cookie choice: stored in your browser until you change it or clear the site's data. If you accept them, Google and Meta cookies are kept for the periods set by those platforms.
  • Backups: renewed on a rotating basis (daily backups are kept for about 14 days and weekly backups for about 8 weeks). Deleted or anonymized data disappears from backups at the end of this cycle.

8. Security

  • The administration area is restricted to authorized staff and protected by two-factor authentication.
  • Access to it and sensitive actions performed in it are logged (audit trail).
  • Photos are checked, given a random file name and stripped of their metadata; they are not publicly accessible and can only be viewed from the administration area.
  • Our internal request management tools only access data through a private, secure interface.
  • Abusive submissions are automatically limited, and forms are protected by a security cookie.
  • Backups are made automatically, kept on our server with restricted access and renewed on a rotating basis.

No system is infallible, but these measures are designed to protect your data against unauthorized access, loss or alteration.

9. Cookies

We use two categories of cookies and similar technologies.

Technically necessary cookies

  • a security cookie (CSRF), which protects forms against fraudulent submissions from other sites;
  • session cookies for the administration area, used only by authorized staff who log in.

Because these cookies are strictly necessary for the site to work, we do not ask for your consent to use them. You can block them in your browser, but forms may then stop working.

Your cookie choice is stored in your browser's local storage (“localStorage”), so that we do not ask you again on every page.

Measurement and advertising cookies (only with your consent)

We may enable the following tools:

  • Google Analytics 4, to measure traffic and how the site is used;
  • Google Ads, to measure how effective our ads on Google are;
  • the Meta pixel, to measure how effective our ads on Meta platforms (such as Facebook and Instagram) are.

These tools are disabled by default. When they are enabled, they only load after you give your consent through the cookie banner: refusing is as easy as accepting, and you can change your choice at any time using the “Cookies” link in the footer. If you refuse, the site works normally.

If you accept them, Google and Meta may set cookies or use similar technologies to collect information about your browsing (pages viewed, actions taken on the site), your device and your browser, as well as your IP address. They process this information under their own privacy policies. We never send them your phone number or your email address.

If you withdraw your consent, these tools stop loading; you can also delete cookies already set using your browser settings.

Separately from these tools, our own audience statistics work without cookies (see section 2). If we ever wanted to use other cookies, we would update this policy and ask for your prior consent where the law requires it.

10. Your rights

Under Law No. 172-13, you have the rights of access, rectification, cancellation (erasure) and objection, known as “ARCO” rights. You can:

  • access your data and find out how we use it;
  • rectify or update it if it is inaccurate or incomplete;
  • request its erasure, unless the law requires us to keep it;
  • object to its processing.

You can also withdraw your consent at any time, in particular for sharing your request with a partner installer, for commercial offers, for the publication of a project or testimonial and for measurement and advertising cookies (using the “Cookies” link in the footer). Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

If the GDPR applies to your situation (see section 4), you can also:

  • request restriction of processing;
  • receive the data you provided to us in a structured, commonly used format (portability);
  • lodge a complaint with a data protection authority, in particular the one in your country of residence in the EU or EEA (for example the CNIL in France).

In the Dominican Republic, you can also enforce your rights in court through the habeas data action provided for in the Dominican Constitution.

How to exercise your rights

The information you give in the data rights request form is used only to handle your request; it is not passed to our internal request management tools. To protect your data, we verify your identity by asking you to confirm the request from the WhatsApp number you used (or, if that is not possible, by another proportionate means). We reply as soon as possible and within the time limits set by applicable law; our target is to reply within 30 days at most. Exercising your rights is free of charge.

To stop receiving commercial offers, simply reply STOP on WhatsApp.

11. Installers, suppliers and professionals

If you are an installer or supplier and fill in the sign-up form on the Installers and suppliers page, or if you write to us in a professional capacity, we use the data you provide (for example your name, your company's name, your contact details, your business activity and your message) to review your proposal, reply to you and, where applicable, organize our collaboration. Only your WhatsApp number is required. This information is not published on the site without your agreement. A partner installer that receives a request shared with a customer's agreement must use it only for the study and the quote. You can exercise your rights in the same way as anyone else.

12. Minors

Our service is not intended for persons under 18. If you believe a minor has sent us data, please write to us using our contact form so that we can delete it.

13. Changes to this policy

We may change this policy, in particular if the way the site works or the applicable law changes. Each version is identified by its version number and update date, shown at the top of this page, and we record the version that was shown to you when you sent your request. If a change significantly affects how your data is used, we will indicate it clearly on the site.
